1. Purpose

Squad Systems Private Limited (“Squad Systems”, “we”, “our”) is committed to conducting its business with the highest standards of integrity, honesty, and ethical behavior. As the developer of PhylaxVault™—an enterprise-grade email archiving, compliance, and recovery solution—we recognize that our software handles sensitive organizational communications. We uphold strict ethical principles regarding data privacy, customer ownership, fair commercial practices, and responsible compliance technology.

 

2.  Integrity and Responsible Business

We aim to conduct our business relationships in a professional and responsible manner. Product use, contractual commitments, support, licensing, and customer interactions are governed by applicable agreements and documented terms. We seek to communicate our product capabilities and responsibilities clearly and avoid representing PhylaxVault as providing guarantees that are not stated in our agreements.

 

3.  Customer Trust and Confidentiality

We respect the confidentiality of information shared by customers. The PhylaxVault EULA states that each party shall protect the confidential information of the other using reasonable care and shall not disclose it except as required to perform contractual obligations or by law.

 

4.  Customer Data Ownership

Customer email messages, attachments, metadata, audit logs, and archived information processed through PhylaxVault remain the property of the customer organization. Squad Systems does not acquire ownership of customer data. All emails, attachments, metadata, audit logs, and archived information processed through PhylaxVault remain the exclusive property of the customer organization. Squad Systems strictly does not sell, rent, or use archived customer email data for advertising, marketing, or commercial profiling purposes. Both parties are bound to protect each other’s confidential information using reasonable care, disclosing it only when required to perform contractual obligations or by law.

 

5.  Privacy and Responsible Use of Information

PhylaxVault is designed to process information for legitimate purposes such as email archiving, retention, compliance, audit, eDiscovery, secure search and retrieval, security monitoring, support, and business continuity. PhylaxVault does not sell, rent, or use archived email data for advertising or marketing purposes.

 

6.  Security and Protection of Information

We recognize the importance of protecting customer information. PhylaxVault incorporates documented security capabilities including encryption, role-based access controls, authentication and authorization mechanisms, audit logging, monitoring, and tamper-resistant storage architecture.

 

7.  Lawful and Authorized Use

PhylaxVault is intended for legitimate organizational purposes including email archiving and retention, compliance, audit and eDiscovery, information governance, secure indexing and retrieval, business continuity, and record preservation. Use of the software for unlawful purposes is prohibited. We require all licensees to use PhylaxVault for lawful internal business operations and compliance requirements, prohibiting any unlawful applications or malicious system misuse.

 

8.  Fair and Clear Licensing

PhylaxVault is licensed, not sold. Customers receive the rights expressly granted under the applicable agreement. The EULA prohibits unauthorized reverse engineering, modification, redistribution, resale, unauthorized sharing of license keys, and circumvention of security or licensing mechanisms.

 

9.  Respect for Intellectual Property

We respect intellectual property rights. The EULA states that intellectual property rights, including copyrights, patents, trademarks, trade secrets, and other proprietary rights in PhylaxVault remain with Squad Systems Private Limited and its licensors. Customers receive only the rights expressly granted under their applicable agreement. Customers are granted a clear, non-exclusive license without unauthorized transfer or reverse-engineering restrictions.

 

10.   Accountability and Customer Responsibilities

Security and responsible use are shared responsibilities. Customers are responsible for appropriate installation and configuration, user access and permissions, administrator credential protection, retention and compliance policies, lawful processing of data, and appropriate backup and recovery procedures.

 

11.   Responsible Third-Party Relationships

PhylaxVault can integrate with third-party platforms such as Microsoft 365, Microsoft Exchange, Google Workspace, LDAP, and Active Directory. These services remain subject to their respective terms, privacy policies, security controls, and availability.

 

12.   Transparency About Security and Compliance

We aim to distinguish product capabilities from customer responsibilities and regulatory outcomes. PhylaxVault supports compliance-related workflows such as retention, legal hold, audit, and eDiscovery, but compliance depends on appropriate configuration, organizational policies, applicable requirements, and customer practices. Our security documentation also states that no system can guarantee absolute security.

 

13.   Professional Conduct

Employees, representatives, and business partners involved in PhylaxVault activities are expected to act professionally, respect confidentiality, follow applicable agreements, and avoid unauthorized access, misuse of information, or conduct that conflicts with contractual or legal obligations.

 

14.   Reporting and Concerns

Questions or concerns relating to PhylaxVault, customer data, privacy, security, licensing, or contractual matters should be raised through the applicable Squad Systems contact or support channel so that they can be reviewed under the relevant agreement or policy.

 

15.   Scope and Important Note

This statement is a public business-ethics statement based on the current PhylaxVault EULA, Terms and Conditions, Privacy Policy, Security Overview, and related service documentation. It should not be interpreted as confirmation that Squad Systems has separately adopted formal programs or certifications that are not stated in those documents, such as a standalone anti-bribery policy, whistleblower program, supplier code of conduct, or ISO/SOC certification.

We are committed to building customer trust through responsible product practices, confidentiality, protection of customer data, respect for intellectual property, lawful and authorized software use, security-conscious operations, and clear communication of responsibilities. These principles support the way PhylaxVault is developed, licensed, deployed, and used by organizations.

 

17. Governing Law and Dispute Resolution:

We believe in fair, good-faith negotiations to resolve any disagreements. Any disputes arising from our agreements are governed by the laws of India and resolved through structured arbitration in Noida, Uttar Pradesh.
